JOB DESCRIPTION: The staff accountant position for accounts payable and payroll is responsible for maintenance and control of general ledger accounts by completing accounting transactions and processes related to accounts payable and payroll in accordance with Generally Accepted Accounting Principles (GAAP). Compensation: $46,000 - $61,000 annually; commensurate with experience Benefits:Including, but not limited to, medical, dental, and vision insurance; generous paid time off plan including 10 holidays,vacation, personal, and sick time; 403b with employer match for eligible employees; discounts in the museum store and cafe; free general admission for you and your immediate family Work Schedule:Monday-Friday, 35 hours per week Responsibilities: JOB REQUIREMENTS:

Performs bi-weekly payroll processing using third-party vendor software. Ensures accuracy of timekeeping and payroll records. Maintain employee payroll records, including setting up new hires into the payroll system, and posting changes in pay, tax status and other miscellaneous changes. Generate payroll reports as needed.

Ensures compliance with all federal, state and local payroll tax laws and regulations in payroll processing and best practices.

Provides excellent internal customer service to employees regarding payroll questions. Completes timely review, research and resolution of employee payroll discrepancies.

Maintains confidentiality of all payroll information.

Records and pays vendor invoices in accordance with established policies for purchase requisitions, purchase orders, approvals and payment processes. Ensures accuracy of general ledger account coding and payment amounts. Verifies and investigates discrepancies. Ensures bills are paid in an efficient and timely manner. Completes monthly reconciliation of accounts payable ledger to general ledger

Manages the purchasing card transaction processes. Performs monthly audits of purchasing card transactions.

Ensures compliance with tax reporting for vendor payments including IRS Form 1099. Maintains vendor W-9 records.

Assists staff with questions regarding payroll and accounts payable processes.

Assists accounting department staff with projects as needed.

Assists with payroll and financial audits by providing records and documentation as needed.

Performs other duties as assigned.

Minimum Experience: Associate Degree in Business Administration with a focus in accounting; 1 - 3 years of relevant experience in accounting, accounts payable and payroll.

Preferred Experience: Bachelor Degree in Business Administration with a focus in accounting; 3+years’ experience using Sage Intacct accounting software and third-party payroll software

Knowledge/Skills:

Knowledge of Generally Accepted Accounting Principles (GAAP) including accounting for not-for-profit organizations.

Knowledge of laws and regulations governing payroll and accounts payable processing.

Proficiency with accounting software systems with a preference for work with Sage Intacct.

Proficiency with third-party software for processing employee time and payroll.

Proficiency with Outlook and MS Office software, including Word and Excel, with the ability to adapt to new technology.

Excellent verbal, written, analytical, interpersonal, and organizational skills.

Ability to identify problems, collect data, establish facts, and draw valid conclusions.

Ability to work effectively in a team environment.

Excellent follow-up skills.

Friendly and respectful internal customer service approach to interacting with employees or resolving employee payroll issues.

Ability to explain payroll components to various levels of employees.

High degree of accuracy and attention to detail.

Essential Functions:

While performing the duties of this job, the employee is regularly required to talk and hear.

The employee is frequently required to stand; walk; use hands to finger, handle or feel; and reach with hands or arms.

This position requires prolonged periods of working at desk and working on a computer.

At times, this position requires lifting of up to fifteen pounds at a time.
