Executive Assistant Job Description

Position Overview: Cultured Space is seeking an executive assistant. The executive assistant will work 20-40 hours per week, Monday - Friday, supporting the front and back end of our business, including scheduling client calls, social media management, website management, file management, and ensuring our staff is supported.

Duties/Responsibilities:

Manage scheduling client private session links.

Act as liaison between practice clinicians and clients.

Intake coordination (making and receiving phone calls)

Manage proper documentation for new and existing clients.

Manage social media and website pages to ensure relevant topics related to cultural identity, cognition and psychoeducation are posted regularly.

Write blogs that are psychoeducational or relevant to different cultural identities and cognitive health on a weekly or biweekly basis.

Regular and reliable attendance to work is required.

Attend mandatory staff meetings and training as directed by Cultured Space.

Other duties may be assigned.

Qualifications and Skills:

Align with Cultured Space mission, vision, and values.

Highly motivated, organized individual who is able to work effectively with minimal supervision

Ability to work in a highly ambiguous environment

Strong analytical skills and demonstrated ability to improve processes

Exceptional written, verbal, and interpersonal communication skills

Ability to handle confidential information with discretion, and deal with professionals inside and outside the company

Strong organizational skills.

Experience in working with Instagram, Facebook, and other social media accounts.

Experience/willingness to learn basic website design via Wix.

Experience in working in a mental health field (preferred).

Experience in working with EHR systems (preferred).

Enthusiasm for making creative and interactive content.

Someone who often needs direction in order to complete tasks.

Someone who struggles with organization.

Someone who has difficulty communicating concerns as they arise or as they are anticipated.

Someone with difficulty or minimal interest in creating content relevant to our values.
