Job Title: Medical ReceptionistJob DescriptionDuties/Responsibilities: Schedule office visit appointments following CTGI policy and scripting Update insurance and demographic information when scheduling appointments and obtain “high five” confirmation Confirm appointments as assigned following CTGI policy Note “no-shows” or last-minute cancellations following CTGI policy; look on reschedule list to make sure they obtain a new appointment Review registration workqueue and ensure any incorrect registrations are corrected Make sure that all letterhead, forms, etc. that are handed out, are up to date and accurate Check, request, and document referrals for incoming patients Monitor and update waiting list for physicians as required Provide coverage for check-in, checkout, and procedure scheduling personnel when required Properly answer incoming phone lines, taking clear, concise messages Properly compose, process, and follow-up on electronic phone messages and alerts Properly route messages to the correct provider or employee Utilizing EMR, answer any quick patient questions (which are appropriate for administrative staff), sign encounters, and close the loop with patients and providers. The person and call back messages on assigned overflow voicemail Sort and deliver mail when required Sort electronic faxes and assign to the appropriate folder Monitor the schedule of assigned providers, noting and correcting errors as appropriate; review any cancellations or gaps in the schedule and help fill Request medical records for incoming patients when required and prepare charts if needed Assist with courier preparation and distribution as requested Provide administrative backup (in-person or virtual) at any CTGI office or satellite if requested Assist with any general office function at the request of the site supervisors or managers Provide team support to other CTGI staff members as required, to ensure proper patient care and smooth functioning of the office Verify e-checkin was completed or ensure all paperwork is up to date when the patient is checking in Ensure that the cash drawer is closed every day regardless of where the copay came from – telehealth, in-person, e-checkin Encourage MyChart usage and sign-ups for patients who aren’t utilizing it When scheduling from the referral work queue, schedule off the referral to ensure it falls off the work queue Follow CTGI protocols and appropriate workflows to ensure standardizationSchedule:Monday - Friday, 8-hour shifts 8 am-5 pm. Should be open to working between hours 8 am-5 pm and should expect to show up 15 mins early for each shift. 1-hour lunch break.Hard Skills
