Job Posting: Office Administrator/Manager

Location: Westport, Connecticut

We are seeking a highly organized and customer-focused individual to join our team in Westport, Connecticut, as an Office Administrator/Manager. This crucial role will be responsible for managing client agreements, ensuring smooth customer interactions, and handling payment processing.

Responsibilities:

Client Agreement Management:

Preparing and executing client sales agreements based on established templates and guidelines. Candidates must demonstrate experience in understanding and accurately completing sales agreements.

Creating and managing client service agreements, ensuring all terms and conditions are accurately documented. Experience in drafting or managing service agreements is highly desirable.

Facilitating the signing process for both sales and service agreements with clients, ensuring all necessary parties complete the documentation. Excellent communication and interpersonal skills are essential for this aspect.

Maintaining organized records of all executed client agreements, both physically and digitally. Strong organizational skills and attention to detail are required.

Service Completion Acknowledgment:

Preparing and obtaining client signatures on completion of service acknowledgments or similar documentation to confirm service delivery.

Ensuring proper documentation of completed services.

Customer Interaction:

Providing a warm and professional welcome to all customers and visitors.

Addressing customer inquiries and providing excellent customer service in person, by phone, and email.

Managing appointment schedules and ensuring smooth customer flow.

Payment Processing:

Processing credit card payments accurately and efficiently using our point-of-sale system (e.g., Square, Vagaro - experience with point-of-sale (POS) systems for processing credit card payments is required).

Maintaining records of transactions and ensuring proper reconciliation.

General Office Administration:

Managing office supplies and ensuring adequate stock levels.

Maintaining a clean and organized office environment.

Handling incoming and outgoing mail and communications.

Assisting with scheduling and other administrative tasks as needed.

Qualifications:

Proven experience in an administrative or office management role.

Demonstrable experience in preparing, executing, and managing client sales agreements.

Experience in drafting or managing client service agreements is strongly preferred.

Excellent verbal and written communication skills, with a strong customer service orientation.

Proficiency in using office software (e.g., Microsoft Office Suite, Google Workspace).

Experience processing credit card payments using a point-of-sale (POS) system (e.g., Square, Vagaro).

Strong organizational skills, attention to detail, and the ability to multitask effectively.

Ability to maintain confidentiality and handle sensitive information.

High school diploma or equivalent required; associate's or bachelor's degree preferred.
