DayBilling ClerkSUMMARY
A billing clerk is responsible for creating invoices and credit memos,
updating customer files, and sending invoices and payment reminders to
customers. Their primary interaction is with external customers. Internally,
they collaborate with the departments on their billings. They will also cross
train with the other accountants for backup coverage.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:
Collaborate with departments to acquire the necessary information for monthly
billings
Collect all necessary backup required to attach to invoices being submitted
Run the transaction detail from QuickBooks to assure all monthly expenses are
being billed to customers.
Retrieve necessary payroll information from Paycom necessary for monthly
billings
Maintain monthly status spreadsheets to follow contract/grant/funding cycles
Prepare invoices per contract/grant/funding providers requirements
Enter invoices into QuickBooks attaching all necessary backup
Keep contact information and files updated for all customers
OTHER DUTIES AND RESPONSIBILITIES include the following:
Knowledge of contract/grant/funding for invoicing, tracking, and all
other information needed
File, maintain, and distribute accounting documents as they pertain to
billing clerk
Other duties, as assigned
SUPERVISORY RESPONSIBILITIES
This position has no supervisory responsibilities
QualificationsQUALIFICATIONS
1-2 years accounting experience / non-profit and or federal contracting
experience a plus
Accounting systems experience, QuickBooks a plus
Self-directed / able to work independently / work with senior staff
Excellent Microsoft Office skills, especially Excel, Outlook, and Word
Excellent communication skills (written and verbal), grammar, and
reasoning skills
Ability to handle confidential and sensitive information
EDUCATION and/or EXPERIENCE
12 credit hours in accounting or 2 or more years of experience in the
accounting field.
LANGUAGE SKILLS
Ability to read and interpret documents such as safety rules, operating and
maintenance instructions, and procedure manuals. Ability to write routine
reports and correspondence. Ability to speak effectively before groups of
customers or employees of organization.
MATHEMATICAL SKILLS
Ability to calculate figures and amounts such as discounts, interest,
commissions, proportions, percentages, area, circumference, and
volume. Ability to apply concepts of basic algebra and geometry.
REASONING ABILITY
Ability to solve practical problems and deal with a variety of concrete
variables in situations where only limited standardization exists. Ability to
interpret a variety of instructions furnished in written, oral, diagram,
or schedule form.
