Job Description:The Department Secretary is responsible for the coordination of various administrative functions for Meals on Wheels in a time sensitive, accurate, and confidential nature. Primary responsibilities include task tracking, organization of data, calendar management, correspondence, response to inquiries and requests, meeting management, and support of local facility needs. The Department Secretary works closely with their assigned group or leader(s) and serves as a liaison with other internal and external stakeholders.The Administrative Coordinator provides support of a technical nature including remote meeting management, facilitation of presentations, and management of multimedia needs both by the leader(s) and meeting support.May be responsible for department day to day operations and goals that relieve and assist the leaders of routine project or advanced administrative duties.Job Duties:
Responds to new and existing client telephone inquiries; processes reservation requests or changes in service.
Processes new client applications, determining eligibility. Develops necessary confidential files; maps clients for home delivery and updates delivery books.
Enters client data into state-wide secure database.
Conducts periodic telephone reassessments with existing clients and updates record
Assists Program Coordinators with volunteer recruiting, scheduling and training.
Participates as area outreach events.
Set hospitality area in meeting room with snacks and beverages.
Loads and transports meals as necessary.
Helps serve meals at dining sites as required.
Inventory and order supplies
Assists co-workers in completing their duties to promote effective teamwork.
Minimum Qualifications: (required)Education: High School Diploma or equivalent.Experience: Minimum one year related office experience.License/Certification:Registration Food Handlers Card (training provided after hire) Colorado Department of Human Services Database Access (training provided after hire) Current, valid class appropriate driver’s licensePhysical Requirements:Ongoing need for employee to see and read information, labels, assess patient needs, operate monitors, identify equipment and supplies.- and -Frequent interactions with patient care providers, patients, and visitors that require employee to verbally communicate as well as hear and understand spoken information, alarms, needs, and issues quickly and accurately, particularly during emergency situations.- and -Manual dexterity of hands and fingers to manipulate complex and delicate equipment with precision and accuracy. This includes frequent computer use and typing for documenting patient care, accessing needed information, medication preparation, etc.- and -Expected to lift and utilize full range of movement to transfer patients. Will also bend to retrieve, lift, and carry supplies and equipment. Typically includes items of varying weights, up to and including heavy items.- and -Need to walk and assist with transporting/ambulating patients and obtaining and distributing supplies and equipment. This includes pushing/pulling gurneys and portable equipment, including heavy items.
