Role: Remote Administrative Coordinator (Scheduling and Customer Support)
COVA Tree is seeking a highly organized and detail-oriented Administrative Coordinator to join our team. This remote position is ideal for a self-motivated individual who thrives in a customer-focused environment. You will play a critical role in supporting our operations by managing customer communications, coordinating schedules, assisting with administrative tasks, and ensuring smooth day-to-day processes.

Key Responsibilities
Customer Service & Communication:
-Respond to inbound inquiries and provide professional, solutions-oriented customer support via phone, email, text, and social media.
-Maintain strong communication with customers regarding appointment scheduling, service updates, and follow-up needs.
-Support the team by responding to needs and ensuring customer information is accurately entered and maintained in our systems.
Scheduling & Operations Support:
-Coordinate and optimize the scheduling and routing of sales estimates for the sales team, ensuring efficiency.
-Manage the scheduling calendar and assist with rescheduling, adjustments, and customer notifications.
-Assist with administrative duties including data entry, report preparation, recordkeeping, and inventory.
-Track work time accurately and complete assigned tasks within deadlines while working independently.
Qualifications
Prior experience in administrative support, scheduling, customer service, or office coordination.
Excellent communication skills across phone, email, and text platforms.
Strong organizational skills with the ability to manage multiple tasks and deadlines.
Comfortable working independently in a remote setting while maintaining a high level of accountability.
Proficiency with HouseCallPro (preferred) and Google Suite (Docs, Sheets, Calendar).
Additional Information:
Seasonal position through mid-November, with the possibility of year-round employment based on performance.
