Position Overview:
As an Office Assistant, you will be the cornerstone of our office operations. Your responsibilities will include managing office tasks, providing excellent customer service, driving sales, and supporting our marketing initiatives. You will play a vital role in ensuring smooth daily operations, enhancing client relationships, and promoting the business through social media, SEO, and other marketing channels.
Key Responsibilities:
Customer Service:
Serve as the first point of contact for clients via phone, email, and in person, ensuring a positive experience.
Address client inquiries, resolve issues, and ensure satisfaction.
Build and maintain strong client relationships to foster repeat business and referrals.
Sales Support:
Assist the sales team with lead generation, follow-up, and conversion.
Develop proposals and quotes based on client needs and requests.
Help track sales metrics and customer feedback for performance improvement.
Marketing & Social Media:
Create and manage content for social media platforms (Facebook, Instagram, LinkedIn, etc.).
Monitor and enhance online presence, engage with followers, and create campaigns to increase brand awareness.
Optimize the company website for SEO to improve search engine rankings and drive traffic.
Create marketing materials and assist with email marketing campaigns.
Office Assistant:
Manage office supplies and equipment, ensuring the office runs smoothly.
Handle scheduling, appointments, and communication between clients and the field team.
Maintain and organize client records and project files.
Assist with invoicing and basic bookkeeping tasks.
Qualifications:
Proven experience in office administration, customer service, sales, and marketing, preferably in the landscaping or related industry.
Strong understanding of social media platforms and their role in marketing and customer engagement.
Experience with SEO, PPC practices and website management.
Excellent communication skills, both written and verbal.
Strong organizational skills with attention to detail and ability to manage multiple tasks.
Ability to work both independently and as part of a team.
Proficiency in Microsoft Office Suite (Word, Excel), G suite and basic CRM tools.
Experience with graphic design software (e.g., Canva) and email marketing platforms (e.g., Mailchimp) is a plus.
