Job Summary

Looking for Assistant or Legal Secretary. Small law firm (3 attorneys) near Park Meadows Mall. Trusts/ Estates/ Estate Planning/ Probate/ Related Litigation Practice. Seeking a dedicated and detail-oriented, organized person who is a self starter and enjoys working with clients too. The ideal candidate will provide essential support to attorneys. This role requires strong organizational skills, excellent phone etiquette, and the ability to multi-task. Must be kind, smart, and willing to help keep attorneys on track.

Duties

- Assist attorneys with client communication, phone work, scheduling, legal drafting of documents.

Paperless office. Microsoft office suite of products and other software used exclusively.

- Prepare and file legal documents with courts and other relevant agencies.

- Maintain organized e-case files and ensure all documentation is up-to-date.

- Communicate effectively with clients, and other persons involved in legal proceedings.

- Manage attorney calendars, schedule appointments, and coordinate meetings.

- Conduct client interviews to gather necessary information for case preparation.

- Assist with the preparation of court materials and exhibits as needed.

- Perform administrative tasks such as answering phones, managing correspondence, and maintaining office supplies.

Experience

- Previous experience as a Assistant or Legal Secretary or in a similar role is preferred; or willing to train motivated person who is self-directed and autonomous.

- Familiarity with legal drafting and administrative processes is helpful.

- Knowledge of firm practice areas is a plus.

- Strong organizational skills with the ability to prioritize tasks effectively.

- Excellent communication skills, both written and verbal, along with professional phone etiquette.

- Proficiency in legal software applications (Wealth Counsel, CLIO, Adobe, etc.) and Microsoft Office Suite (Word, Excel, Outlook).
