Position Purpose

The City of Arvada promotes Equal Pay for Equal Work. Starting salary will be determined by the applicant's education, experience, knowledge, skills and abilities, as well as internal equity.

Performs front desk duties and a variety of routine to moderately complex administrative tasks and customer service activities in support of the Human Resources Department and its customers.

This position is required to work in the office with the proposed work schedule: Wednesday - Friday from 8:00 am to 5:00 pm with some flexibility if needed. Anticipated assignment is budgeted for 2 years.

Job Functions / Scope of Authority

JOB FUNCTIONS

Performs front desk receptionist and administrative support functions for the City of Arvada Human Resources department.

Answers calls and greets customers to ensure a welcoming experience.

Provides support to Benefits Specialist to ensure all required documentation for ECL and FMLA are collected with appropriate approvals

Responds to a variety of questions and requests for information, such as verification of employment, basic benefits or wellness information, personnel file reviews and other miscellaneous requests. Directs or transfers inquiries to HR team members as appropriate.

Responds to informal salary studies.

Responds to internal and external requests relating to job descriptions and the pay plan.

Supports approval process by managing documents through Adobe for digital signatures.

Performs office duties: receives and distributes mail, orders and maintains office supplies, arranges for office equipment maintenance as needed.

Provides administrative support for benefits and wellness programs: benefits books and open enrollment packets, tracking employee participation in wellness program activities and distributing rewards.

Assists with scheduling and coordinating meetings and/or training (in person and virtual), assists with hosting/recording virtual meetings; takes meeting minutes, and orders food or supplies for meetings as needed.

Assists in setting up and preparing for interviews, prepares interview packets; enters and updates information in applicant tracking system (NEOGOV) and answers routine questions from candidates and hiring managers on the status of recruitments.

Creates and maintains various correspondence, documents and spreadsheets.

Assists with maintenance of HR files and records, including personnel files. Responds to internal and external requests to review personnel files; serves as contact for the City Attorney’s office regarding such requests.

Provides additional support when needed or during peak times, such as seasonal recruiting, open enrollment, and year-end activities

Assists with putting together materials for HR sponsored events, including hiring events, job fairs, benefits fairs, and training.

Demonstrates a respectful attitude towards customers and coworkers that promotes teamwork, open communication, and effective customer service.

Acts with the customer in mind, responds to requests promptly and provides effective services or solutions for customers.

Other Duties as assigned.

ESSENTIAL KNOWLEDGE, SKILLS AND ABILITIES

Knowledge of office management and receptionist functions.

Solid computer and technical skills with the ability to efficiently use tools such as Zoom, google email, word processing and spreadsheet software, HRIS system, copier and scanning equipment.

Strong customer service skills with the ability to maintain a positive and friendly can-do attitude while working in an office environment with multiple interruptions.

Skilled in creating documents using MS Word or Google docs and docusign.

Ability to stay organized and be flexible under changing conditions.

Ability to learn and interpret HR policies and procedures and answer routine questions.

Ability to effectively communicate information, both verbally and in writing, to support organizational objectives and interact with all levels of personnel within the city in a positive and cooperative manner.

Ability to exercise initiative and judgment as well as making decisions within the scope of assigned authority.

Working Environment / Qualifications

WORKING ENVIRONMENT/PHYSICAL ACTIVITIES:

The work environment/physical activities described here are representative of those an employee encounters while performing the essential functions of the job.

Work is primarily performed in an office environment with low to moderate noise levels. Physical effort and activities include: ability to talk, hear and listen, use of hands/fingers to type and handle, feel or manipulate objects constantly; frequent sitting; occasional standing, walking, and reaching with hands and arms; visual acuity to focus on details at a close distance, and make general observations; frequent handling of objects weighing up to 10 pounds, and up to 25 pounds occasionally.

MINIMUM REQUIRED QUALIFICATIONS (EDUCATION, LICENSE, TRAINING AND EXPERIENCE):

High school diploma or equivalent and three (3) years of progressively responsible experience providing a high level of administrative support and coordination in a busy office environment. Experience in Human Resources preferred.
