Our small private general practice is looking for an experienced, highly motivated and detail-oriented professional to join our team as an Office Manager. This position will be responsible for providing high-level administrative support, including front office and managerial duties.

Our ideal candidate will have a strong knowledge of dental office operations, exceptional communication and interpersonal skills, possess the ability to maintain office professionalism and be a strong and effective team leader.

Primary Responsibilities

Front Office

This position will help assist the front office with (but not limited to):

Insurance Claims cycle including - Pre-Determinations, claims, appeals, insurance A/R.

EOB entry and ledger auditing

End of Day reconciliations including - verifying day sheet accuracy, deposits, adjustments and clinical notes.

Oversee patient communications and records.

Presenting treatment plans and assisting with financing options for patients, as needed

Other various administrative duties and responsibilities as needed and act as backup for other Front Desk team members including:

Answering phones

Greeting/checking in and checking out patients

Collecting patient balances due

Scheduling

Verifying insurances (only as needed at this time)

Managerial

Prepare and conduct monthly staff meetings

Assist with onboarding new hires

Maintain and build on office protocols to ensure smooth workflow

Maintain office inventory and equipment

Coordinate with IT and technical support when necessary

Assist Business Administrator in interviewing/hiring team members as needed

Manage and lead the office team by example

Promote effective communication and foster a collaborative work environment

Respond to escalated billing and statements inquiries in a timely & professional manner.

Coordinate staff schedules. Manage coverage and approval for time off and/or vacation times.

Audit and Submit final staff hours to Business Administrator for payroll processing.

Arrange temp employees, as needed, including the necessary paperwork.

Process workers’ comp claims, as needed.

Provide exceptional customer service that fosters trust and comfort

Previous dental management experience is required. A background check will also be required for this position. Experience with Dentrix is preferred.

This position will have the following workdays and hours:

Monday 6:45- 4:30 pm

Tuesday 6:45 - 4:30 pm

Wednesday 9:45 -7:00 pm

Thursday 6:45 -4:30 pm
