Seeking an Assistant Venue Coordinator for High-End Wedding Venue

We are seeking an enthusiastic, well-spoken, and outgoing Assistant Venue Coordinator Intern to join our team. As the first point of contact for prospective clients, you will be instrumental in showcasing our venue and creating memorable first impressions. In this role, you will primarily be responsible for giving tours of the venue and assisting clients with the booking process. During peak wedding season (May–October), your role will expand to support coordination tasks, ensuring our events run smoothly and our clients’ expectations are exceeded.

Key Responsibilities:

1. Venue Tours and Sales Support:

- Welcome prospective clients with a cheerful, professional attitude, creating a warm and inviting experience.

- Conduct engaging and informative venue tours, tailored to highlight features relevant to each client’s event needs.

- Answer questions, provide recommendations, and offer insights to showcase the venue’s full potential for weddings, events, and other gatherings.

- Effectively communicate the unique features, packages, and services our venue offers.

2. Booking and Sales Coordination:

- Collaborate with team members to follow up on leads, schedule appointments, and handle initial booking inquiries via phone, email, and social media.

- Track and update holding/booking status with team members, ensuring accurate and up-to-date records.

3. Client Relationship Building:

- Maintain an approachable and friendly demeanor to establish positive relationships with clients.

- Listen attentively to clients’ needs and preferences, and provide personalized assistance to ensure their vision aligns with the venue’s offerings.

- Proactively follow up with clients to ensure a seamless and positive experience from the first tour through booking and event execution.

4. Event Season Support (May–October):

- Transition to a more active role in event coordination during peak season, assisting the Assistant Venue Coordinator and Venue Coordinator in managing event setup, vendor coordination, schedules, and day-of logistics.

- Act as a point of contact for vendors, caterers, and other event service providers to ensure clear communication and smooth operations.

- Support the Venue Coordinator, Venue Manager, and Upper Management in any additional tasks necessary to ensure events are executed to the highest standard.

5. Administrative Duties:

- Maintain up-to-date records of tour schedules, bookings, and client communications.

- Assist in marketing initiatives, such as social media updates or participating in venue showcases (ie: Couples’ Wine Tasting in early May).

Qualifications:

Excellent communication skills: articulate, cheerful, and confident.

Outgoing personality with a strong ability to engage and connect with diverse clientele.

Well-organized with keen attention to detail, especially in managing bookings and event schedules.

Professional and polished appearance and demeanor, to represent our venue with the highest standards.

Ability to work independently as well as part of a team, with flexibility for evenings, weekends, and varying peak-season demands.

Previous experience in customer service, sales, or hospitality is highly preferred.
