The Contract Administrator is responsible for day-to-day management of contracts throughout their lifecycle, with emphasis on administration, compliance monitoring, and relationship management. This role ensures contractual obligations are fulfilled, documentation is properly maintained, and organizational interests are protected through diligent contract oversight.Core ResponsibilitiesContract Administration (60%)Process and maintain executed contracts in contract management systemsTrack key contract dates, milestones, deliverables, and renewal/expiration deadlinesPrepare and process contract modifications, amendments, and change ordersMonitor vendor performance against contractual requirements and service level agreementsFacilitate communication between internal stakeholders and vendors regarding contract mattersReview invoices for contractual compliance and approval routingCoordinate contract closeout procedures and documentationMaintain accurate and complete contract files for audit purposesGenerate regular status reports on contract performance metricsSOX control responsibilities may be part of this role, which are to be adhered to where applicable. Compliance Management (25%)Ensure adherence to contractual terms and conditions by all partiesIdentify potential compliance issues and escalate to appropriate managementTrack insurance certificates, licenses, and other compliance documentationMonitor regulatory changes that may impact existing contractsAssist with internal and external audits related to contract documentationMaintain standard operating procedures for contract administrationSupport development and implementation of contract templates and standard clausesAdministrative Support (15%)Assist with routine contract-related correspondencePrepare contract summary sheets for management reviewSchedule and support contract review meetingsProvide administrative support for the contract management teamRespond to basic inquiries about contract status and requirementsMaintain vendor contact information and relationship recordsSupport data entry and reporting functions within contract management systems
