Description We are offering a contract to hire employment opportunity for a diligent Administrative Assistant in the service industry, based in Walnut, California, 91789, United States. As an Administrative Assistant, you will provide vital support to our regional sales managers, dispatch, and president. You will be expected to handle a variety of administrative duties, including preparing proposals, maintaining our customer database, and issuing purchase orders. This role will require a high level of organization, attention to detail, and strong communication skills.Responsibilities: Provide administrative support to regional sales managers, dispatch, and president as needed Prepare proposals, letters, and spreadsheets as required Maintain and consistently update the customer database Prepare introduction packets and mailers for clients Issue purchase orders to technicians as needed Handle multiple tasks as needed in a timely and efficient manner Execute general office responsibilities such as filing, faxing, copying etc. Serve as back-up to dispatch when necessary Utilize Microsoft Office tools, including Visio, for various tasks Communicate effectively with customers and all levels of management Compose letters and proposals as part of communication duties Handle inbound and outbound calls, ensuring high-quality customer service Manage email correspondence and schedule appointments as required. Requirements Minimum of 2 years of experience as an Administrative Assistant in the service industry Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) Ability to answer inbound calls and handle both inbound and outbound calls Strong customer service skills and experience Competence in data entry tasks Experience with email correspondence Ability to schedule appointments accurately and efficiently Experience with purchase orders and dispatching Skills to compose professional letters Ability to multi-task and work under pressure Excellent communication skills, both written and verbal Strong organizational skills and attention to detail Ability to work independently and as part of a team Must be reliable and punctual High level of discretion and judgement High school diploma or equivalent required; Bachelor’s degree preferred.
