Ink America International Group, LLC manufactures and distributes, guitars, drums, bass guitars, ukuleles, amplifiers, keyboards, digital pianos, pro audio, percussion and music instrument accessories, non-alcoholic beverages, and medical supplies for three retail brands, headquartered in Newbury Park, CA.

Summary:

We are seeking a highly organized and detail-oriented Administrative and Accounting Assistant to join our team. As an Administrative and Accounting Assistant, you will provide essential support to our office operations in key areas of Accounting, Office Admin and Logistics, assisting with various administrative tasks. Responsibilities:

Provide general administrative support, including but not limited to answering phone calls, responding to emails, managing correspondence, maintain and update files, records, and databases (both electronically and paper);

Perform clerical and bookkeeping duties such as data entry, photocopying, scanning, researching data online, filing and creating and maintaining spreadsheets;

Complete certain business application(s), provide customer and vendors with company information when needed and as required;

Other projects and task to be completed and/or as assigned for month end and yearend financial reporting requirements;

Enter bills, invoices, orders, payments and other data into multiple systems accurately and efficiently;

May manage office inventory and work with vendors to ensure the regular supply of office materials;

Verifying invoices, claims, bills, orders and reconciling various reports as required;

May Assist with organizing company events or meetings.

Qualifications and requirements:

Previous experience as an Administrative Assistant, Accounting Clerk, Bookkeeper, Secretarial or similar role is a plus;

Previous experience working in an accounting and/or office setting is preferred;

Working knowledge of basic bookkeeping, general accounting, basic math and computer literacy skills for creating invoices, PO’s, bills, collating and matching various documents and financial information;

Excellent typing skills with the ability to transcribe accurately (40+ wpm / 10 key by touch);

Strong file management skills and ability to maintain organized records;

Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint);

Minimum Excel knowledge of Pivot Tables, Advanced Formulas and Functions, and VLookup is required;

Previous experience using ERP/ERM software’s a plus but not required;

Previous experience using QuickBooks Desktop, QuickBooks Online, ERP/ERM software(s) and/or Warehouse Management System(s) are a plus but not required;

Ability to handle multiple tasks simultaneously and prioritize workload effectively while staying organized and focused is essential;

Operating data terminals, calculators and other standard office equipment;

Good communication skills for interacting and coordinating with coworkers;

High School Diploma and some College (Associates) a plus but not required.

Lines of communication:

Office Administrative and Accounting Assistant will report and perform various task assigned by the Financial Controller, Managers and Owners of the Company.

Working Conditions:

Physical stamina and strength to tolerate heavy lifting (25 pounds) and standing for extended periods of time.

Full Time on-site (no remote work); Hours: M-F 40 hrs per week. Bi-Weekly Payroll.
