Position: Entry-Level Office Assistant

Hours: Approximately 20-25 hours per week

Location: Ventura, CA

Pay: Depending on experience

Job Summary:

We are seeking a motivated and detail-oriented Entry-Level Office Assistant to support our day-to-day administrative operations. This individual will play a crucial role in ensuring the smooth functioning of our office by performing various clerical and organizational tasks. If you have excellent communication skills, a positive attitude, and a willingness to learn, we encourage you to apply.

Key Responsibilities:

Answer and direct incoming phone calls professionally and courteously.

Sort and distribute incoming mail; handle outgoing mail as needed.

Assist in creating and organizing job folders for painting projects.

Perform light accounting tasks, such as data entry, invoicing, and expense tracking.

Contact vendors and subcontractors to coordinate schedules, confirm orders, or request updates.

Maintain office organization by filing documents, restocking supplies, and keeping common areas tidy.

Manage social media accounts by posting updates, responding to messages, and engaging with followers.

Perform other miscellaneous administrative tasks as assigned by management.

Qualifications:

High school diploma or equivalent.

Strong verbal and written communication skills.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic computer literacy.

Experience with Google Drive and managing paperless systems.

Excellent organizational skills and attention to detail.

Ability to multitask.

Friendly and professional demeanor.

Previous office or administrative experience is a plus but not required.

Bilingual a plus
