Description We are offering a short term contract employment opportunity for an Operations Specialist in Vacaville, California. This role is integral to our operations department, where you will handle job files, generate purchase orders, manage billing entries, and work closely with superintendents. A successful candidate will exhibit strong organizational skills and the ability to multitask in a dynamic environment.Responsibilities Ensure the comprehensive and accurate preparation of job files for the Operations Department, gathering information from various sources. Generate and process purchase orders following company guidelines, verifying details and obtaining necessary approvals. Handle billing data entry with a high degree of accuracy and efficiency, and assist in resolving billing discrepancies as required. Work in collaboration with superintendents to ensure billing processes are timely and accurate. Prepare timesheets on a weekly basis, working closely with superintendents, and ensure they are accurate and compliant with company policies. Collect, maintain, and assist in reviewing field weekly safety inspection reports from superintendents, supporting compliance efforts. Gain proficiency in Sage software for billing and operational tasks, following established procedures and protocols. Enter new job phases into the system, ensuring their completeness and accuracy. Identify opportunities to enhance operational processes and improve efficiency, taking initiative to accelerate operational tasks and meet deadlines. Requirements Proficiency in operations administration is a must. Demonstrable experience in billing practices and procedures. Ability to manage and streamline operational procedures. Proficient in using various billing software. Excellent communication skills to liaise with different departments. Strong organizational skills to manage multiple tasks simultaneously. High attention to detail to ensure accuracy in billing and operations administration. Ability to work in a fast-paced environment and meet strict deadlines. Proven problem-solving skills to overcome operational challenges. Ability to work independently and as part of a team. A degree in Business Administration, Finance, or related field is preferred.
