Position Overview
We are seeking a compassionate and sales-minded Intake Associate to serve as the first point of contact for potential clients seeking estate planning and administration services. This role combines excellent customer service with proactive sales support, helping families address their estate planning needs while building lasting relationships with our firm.
Key Responsibilities
Client Intake & Customer Service
1. Greet guests, answer all incoming calls and conduct scheduled discovery calls with warmth, professionalism, and genuine care for each caller's situation
2. Conduct initial client and existing client intakes to understand clients’ needs
3. Identify qualified prospects and schedule appointments with attorneys accordingly
4. Provide referrals for matters we can’t take
5. Answer questions from existing clients or transfer to the right person
6. Follow up with prospects and clients to help them keep appointments
7. Gather and document essential client and prospect information
8. Handle sensitive family situations with empathy and discretion
Sales & Business Development
1. Maintain detailed records of all client interactions and information in CRM system
2. Utilize email and phone marketing systems where appropriate
3. Prepare weekly Sales Dashboard
4. Follow up to get Google reviews and testimonials
Administrative Support
1. Manage appointment scheduling and calendar coordination
2. Prepare client files from intakes
3. Assist with general office administration as needed
Compensation Structure
Base Salary: $28 per hour
Additional Compensation Based on Performance:
1. Monthly Conversion Bonus: up to $2,000 based on prospect conversion rates
2. Monthly Performance Bonus: Up to $1,000 based on client satisfaction scores and additional firm metrics
3. Annual performance reviews with base salary increase opportunities
Qualifications
Essential Skills:
1. Minimum 2 years customer service or sales experience
2. Excellent verbal and written communication skills
3. Natural empathy and ability to connect with people during difficult times
4. Strong organizational skills and attention to detail
5. Proficiency with phone systems, and basic computer applications
Preferred Experience:
1. Previous experience in legal, financial services, or professional services environment
2. Sales or business development background
3. Experience with estate planning or family law matters
4. Experience with CRM software
