Administrative Assistant
Compensation: $20.00 - $23.00 hourly
Hours: Part-time: Monday – Friday 10 am – 3 pm
Overview
The Administrative Assistant position requires the ability to be dynamic and flexible, the day-to-day duties may vary. Work well with the public, staff, and volunteers, maintain confidentiality of information. Must be Bilingual in Spanish. This position reports to multiple managers.
Primary Duties and Responsibilities
1. Customer Service functions
Greet and offer courteous, informed assistance to any potential clients and volunteers as well as donors and community members whether by email on the phone or in person.
Receive all incoming telephone calls including checking voice messages. Take complete and accurate messages. Review and respond daily to email messages.
2. Office specific functions
Point of first contact.
Sort and open mail.
Handle check processing.
Process Thank you letters.
Be able to work with Basic office equipment.
Maintain and organize work calendar for Executive Director and staff.
Attend staff meetings and take notes.
Function as administrator of Microsoft 365.
Handle urgent and emergency situations as they arise with the assistance of the Managers.
Ability to use the following is critical to job success:
Up-to-date knowledge of software such as Excel and Word and knowledge of basis office equipment.
Microsoft 365
Smartphone use.
Strong technical skills.
Ability to skillfully juggle multiple tasks.
High stress tolerance.
Education & Experience:
Two years of college or four years of clerical work experience.
