Homebase is adding a position for a Community Systems Coordinator, ($75,000 – 85,000, DOE) to join our passionate national team. In addition to a competitive salary, we offer comprehensive benefits, including a 403(b) match, health insurance, and generous PTO.

This position is based in the San Francisco Bay Area. We offer flexible options for working from home, and much of our team is still remote. However, our client meetings and other community processes require local travel within the Bay Area.

About the Position

Homebase supports numerous Continuums of Care (CoCs) – the robust local collaboratives of system leaders, direct service providers, people with lived experience of homelessness and other partners who design and implement the local systems, programs, and services to address homelessness in the region. To achieve their goals, CoCs often have several committees to carry forward local objectives. Homebase often helps coordinate these committees and other local initiatives as part of our work to build local capacity to end homelessness.

The Community Systems Coordinator will be a key player in providing administrative support to ensure communities have the resources and backbone assistance to achieve their goals in addressing homelessness. Working closely with Homebase program staff, the Coordinator is responsible for extensive outreach, communications, logistics, and coordination; serves as a liaison for key points of contact; and provides a variety of support for Homebase projects and initiatives.

We work at the local, state, and national levels to support our partners in designing systems and implementing responses to homelessness while fostering collaboration and collective impact in addressing its political and economic causes.

Responsibilities

Provide administrative support for numerous community committee meetings by coordinating calendars, notifying participants, tracking attendance, identifying committee seat vacancies, preparing meeting agendas, taking notes, synthesizing notes to inform next steps, and summarizing the work of committees to keep community partners up to date.

Provide updates and communications to various community partners through a website (Wordpress), newsletter (MailChimp), email (Google), and other coordination strategies as appropriate.

Work closely with Homebase program staff, attending internal meetings and providing regular updates to ensure that the internal team is briefed on progress, challenges, and opportunities across committees.

Engage in strategic discussions and provide input on opportunities for improving internal and external processes for impact, engaging partners across the community who are working to address homelessness, and ensuring the full Homebase program team has the information they need to be effective.

Provide administrative support on a dynamic array of projects with our collaborative team of homelessness and supportive housing technical experts. This includes:

o Supporting internal administrative processes to compensate committee participants with lived experience of homelessness.

o Maintaining and updating project-related and internal databases, records, and trackers in Salesforce, Excel, and other programs as needed.

o Assisting with meeting scheduling, Doodle polls, Zoom logistics, and other registration needs for virtual and onsite events, meetings, and conferences.

o Managing listservs for Homebase and Homebase community partners, including through Mailchimp and Google programs.

o Staffing of occasional Bay Area onsite meetings (e.g., document production, coordination with catering, room reservations, check-in table staffing).

o Depending on experience of applicant, work may also include copy editing and graphic design of written materials, and other content development or administrative activities as needed.

Additional administrative support as needed. This may include:

o Identifying opportunities to strengthen and streamline internal administrative processes and policies.

o Developing understanding of Homebase’s work in responding to homelessness and organizing internal resources for knowledge sharing and information management across staff.

o As a member of the administrative team, provide backup support for other team members; promote smooth and efficient implementation of Homebase programs by successfully discharging other duties and special projects as assigned.

Qualifications

Successful candidates ideally possess:

At least 3+ years of prior experience providing administrative support in an office or similar setting.

Excellent interpersonal skills and ability to succeed in a warm and supportive team-based environment committed to organizational values of diversity, equity, inclusion, and belonging, and embracing anti-racism.

Excellent communication and customer service skills with internal and external partners.

Strong organizational skills, including ability to prioritize and manage multiple competing deadlines, shifting priorities, and various projects across several teams, with extensive attention to detail and accuracy and good problem solving.

Strong computer and technology skills, including experience with Microsoft Office programs, (Excel, Power Point, Word) and ability to adapt to new systems and software. Experience using Mac computers would be a plus.

Ability to problem solve, learn quickly, with proven capacity to flex and triage to handle urgent requests, ability to identify and communicate challenges and solutions to accomplish project goals.

Flexibility and willingness to travel; licensed drivers preferred but not a requirement.

Homebase prefers candidates with:

Demonstrated commitment to the public interest and passion for addressing homelessness and poverty.

Experience with WordPress is not required but would be a plus.

Special consideration will be given to applicants with lived experience of housing instability, homelessness, and/or criminal justice involvement, including arrest and conviction records.
