GENERAL PURPOSE OF JOB

Under direct supervision, the Clinical Intake Specialist has direct client facing customer service responsibilities for new and existing client relationships. Incumbent is also responsible for various administrative activities including but not limited to executing new client intake, inbound and outbound communications, data entry, and client scheduling.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Responsible for accurate and effective administration of the Client Intake process including data capture and new chart creation in the Practice’s electronic medical record system.

Responsible for timely, efficient and effective handling and triaging of incoming communications via phone and email for the Practice.

Responsible for timely and accurate response(s) to clients, referring providers, and other practices using the most effective and requested form of communication (e.g. phone, email, text) in accordance with established procedures.

Responsible for scheduling coordination with the client and appropriately aligned Practice provider for services requested to include system updates and documentation.

Responsible for accurately documenting all client interactions in accordance with Practice procedures to include the Customer Relationship Management system and the Practice electronic medical record system.

Accurately update and maintain the client waiting list to ensure timely scheduling of client appointments with providers.

Send additional documentation requests to clients as directed or needed for specific services and both notify and educate client on the purpose and timeline for completing the information.

Responsible for timely update and maintenance of the scheduling waitlist to ensure scheduled clients are removed and those completing required paperwork are added.

In accordance with Practice procedures, process incoming referrals and data requests in a timely and efficient manner.

Provide communication and coordination support to providers and their clients to maximize engagement and customer service of the Practice.

Responsible for collecting and verifying insurance information, copay requirements, and any needs for a sliding fee scale in accordance with Practice procedures to ensure services can be provided to the client.

Responsible for executing the procedure of collecting a deposit as appropriate.

Attend, contribute to, and actively participate in the meetings directed or scheduled by management.

ADDITIONAL POSITION REQUIREMENTS

Carries out duties in compliance with all federal and state regulations and guidelines.

Successfully completes regulatory and job training requirements.

SUPERVISORY RESPONSIBILITIES

None

QUALIFICATIONS: EDUCATION and/or EXPERIENCE

High School Diploma or GED.

Two (2) years of experience performing scheduling and intake responsibilities.

Two (2) years of experience in a Medical or Clinical practice environment.

Two (2) years of experience providing customer service.

One (1) year of experience in a professional role working remotely.

LANGUAGE SKILLS

Read and interpret documents such as safety rules and standard operating procedures.

Read and interpret insurance documents and information.

OTHER SKILLS, ABILITIES OR QUALIFICATIONS

Demonstrated experience with data entry and data management in an electronic medical record system.

Demonstrated experience with effective client and provider scheduling and collaboration practices.

Demonstrated experience working remotely to include effective time management, team collaboration and data protection.

Familiar with the scheduling practices of a clinical counseling Practice.

Familiar with the Health Insurance Portability and Accountability Act (HIPPA) and management of Protected Health Information (PHI) and other confidentiality requirements in the clinical field.

Computer skills:

Work and be proficient with clinical Practice Management Software, Electronic Medical Record systems, and scheduling tools.

Work and be proficient with Google Suite and Workspace.

Work and be proficient with Customer Relationship Management systems.

Ability to perform repetitive tasks while maintaining speed of work and attention to detail without loss to production.

Ability to work with others in a team environment.

PHYSICAL DEMANDS

While performing the duties of this job, the employee is frequently required to stand, walk, use hands to touch, handle or feel, and talk or hear.

The employee is occasionally required to sit and reach with hands and arms.

The employee must occasionally lift and/or move up to 10 pounds.
