Are you ready to take your medical office career to the next level? We are seeking a dynamic and dedicated Front Desk Medical Office Coordinator to join our bustling orthopedic practice in Los Gatos. If you thrive in a fast-paced environment and are passionate about providing top-notch patient care, we want to hear from you!

What You'll Do:

- Be the heartbeat of our daily operations.

- Deliver exceptional customer service and patient care.

- Handle a variety of patient care tasks: rooming patients, maintaining clinical records, taking vital signs, stocking exam rooms, and more.

Who You Are:

- A team player eager to learn and grow.

- Experienced in medical office settings (minimum 2 years).

- Tech-savvy with proficiency in Microsoft Office and cloud drives (Google).

Key Responsibilities:

- Schedule and coordinate inpatient/outpatient surgeries.

- Liaise with hospitals, surgery centers, DME providers, and surgical assistants.

- Manage surgery authorizations and per-certifications.

- Obtain prior authorizations for external testing.

- Facilitate post-op care per physician instructions and prepare necessary paperwork.

- Verify insurance eligibility and benefits.

- Handle workers' compensation tasks, including disability forms and authorizations.

- Upload all relevant documentation into the EMR system.

- Monitor and manage incoming faxes and documentation.

- Order and manage office supplies.

- Set up appointments for medical reviews and QME’s.

- Transmit daily scheduled patient notes to our dictation company for transcription.

- Answer multi-line phones, schedule appointments, check in patients, collect and document co-payments, and enter new patient information into the EMR system.

- Send reminders for upcoming patient appointments via email or text.

- Schedule MRIs and secure necessary authorizations.

- Track and manage medical drug inventory and dispensing.

- Process pharmacy callbacks in line with physician protocols.

- Room patients and ensure clean work areas after each patient encounter.

Additional Requirements:

- Thrive in a busy clinical setting.

- Familiarity with EMR systems.

- Full-time availability, Monday - Friday.

- Competitive and based on your skills and experience.

Experience Required:

- Only candidates with medical office experience will be considered.
