Role Overview:
The Dental Operations Manager is responsible for leading the practice’s business operations, optimizing patient scheduling for predictable patient flow, and ensuring financial and operational efficiency. The ideal candidate has proven experience in streamlining scheduling processes, increasing productivity, and driving revenue growth while maintaining an outstanding patient experience. This is a leadership role and will be working directly with ownership. Strong business, analytical and operations experience is highly desired. MBA, PMP, or equivalent experience running dental operations is a plus.
Key Responsibilities:
1) Operations & Scheduling Optimization
- Develop and implement strategic scheduling systems to produce predictable patient flow and maximize provider productivity.
- Utilize data-driven decision-making to refine scheduling protocols, reduce no-shows, and improve appointment efficiency.
- Continuously analyze patient flow metrics to enhance operational efficiency.
- Ensure HIPAA, OSHA and all regulatory compliance standards are met.
- Implement and leverage technology and software solutions to streamline practice management.
2) Leadership & Team Development
- Recruit, train, and lead a high-performing practice team focused on efficiency and patient satisfaction.
- Foster a results-oriented, accountability-driven culture that encourages continuous improvement.
- Conduct regular team performance evaluations and coaching to optimize productivity.
- Collaborate with the clinical team to ensure seamless patient experiences and operational alignment.
3) Patient Experience & Growth Strategy
- Ensure a family-friendly, efficient, and welcoming environment for all patients and caregivers.
- Monitor patient feedback and implement service improvements to maintain high satisfaction ratings.
- Handle escalated patient concerns with professionalism and a solution-driven approach.
- Develop and oversee marketing initiatives to drive patient acquisition and retention.
4) Financial & Performance Management
- Develop data-driven strategies to improve practice performance and profitability.
- Analyze key performance indicators (KPIs) such as production per provider, patient retention, case acceptance rates, and collection efficiency.
- Work to offload ownership on billing, insurance claims, and collections to drive revenue.
- Implement cost-control measures when needed while maintaining top-tier patient care standards.
5) Qualifications & Experience:
- 3+ years of dental office management preferably in a high-volume pediatric or young adult-focused practice. Will also consider applicants with strong operations experience in a leadership role,
- Proven track record in optimizing patient scheduling for predictable patient flow and increased efficiency.
- Strong knowledge of dental billing, insurance processing, and financial reporting.
- Metrics-driven mindset with the ability to analyze data and implement strategic improvements.
- Bachelor’s degree in Business, Healthcare Administration, or a related field highly desired (MBA a plus).
- Proficiency in dental practice management software (e.g., Open Dental, Dentrix).
- Excellent leadership, problem-solving, and decision-making skills.
- Deep understanding of California labor laws and healthcare regulations.
- Bilingual in Spanish or Vietnamese is a plus!
