About the Role
We’re seeking a reliable, proactive, and highly organized Wedding Planning Assistant to support both the back-end planning process and event-day execution. This is a part-time hybrid position that combines 4–10 hours per week of in-office administrative work with on-site event support on weekends (primarily Saturdays). You’ll help keep the planning process running smoothly and bring event designs to life with care, creativity, and logistical finesse.
Responsibilities
Admin (4–10 hours per week)
Organize client files and planning documents in Aisle Planner and Google Drive
Update timelines, vendor lists, and decor display guides
Conduct vendor research and track proposals, contracts, and RSVPs
Support with invitation proofing, rental pulls, and decor sourcing
Maintain internal checklists and prepare event-day materials
Event Day (per-event, weekends)
Assist with decor styling and setup per the Display Guide
Support couple and wedding party during pre-ceremony moments
Liaise with vendors and troubleshoot logistics
Help pack personal items, track décor, and ensure nothing is overlooked
You Are:
Exceptionally organized and detail-oriented
Calm, confident, and solutions-focused under pressure
A self-starter who communicates clearly and takes initiative
Attuned to design, flow, and aesthetics
Comfortable working both independently and collaboratively
Based in Santa Cruz/Aptos (or nearby), with reliable transportation
Available for occasional travel across SF, Santa Cruz, Monterey, Carmel, and Big Sur
Bonus Points If You:
Have experience in weddings, events, or high-end hospitality
Are familiar with Aisle Planner, Canva, or similar tools
Enjoy creative problem solving and guest-focused service
Have an eye for floral and table styling
Available most Saturdays between May and October
