Job Title: Events & HR Coordinator

Reports to: Events and Catering Director and Human Resources Director

Salary: $28 per hour

Status: Full-time, Non-Exempt

Job Location: 25 Division St. Suite 202 San Francisco, CA 94103

Schedule (Work Hours):

Maximum of 40 hours expected to work per week. May be required to work after

business hours, weekends and holidays as needed.

Summary (description):

The Events & HR Coordinator will assist in researching, developing, securing, processing and servicing catering events and private event business from both social and corporate groups, through active promotion, solicitation, and prospecting while providing exceptional guest experiences. This position will work with local key influencers such as event planners, hotels, chamber of commerce to bring in potential business.

You will help coordinate all arrangements from inquiry to the actual event for various on and off-site catering and event groups by working closely with the catering and events department.

You will be responsible for assisting the HR department with projects on an as needed basis.

You will report directly to the Events & Catering Director and the Humans Resources Director.

Essential Functions include but may not be limited to:

- Reconcile checks and process payments for events; maintain accurate logs of financial transactions for all catering and event activity.

- Generate, track, and manage invoices; ensure timely billing and follow-up on outstanding balances.

- Assist with various event-related projects such as simple menu design, document formatting, and other administrative tasks as needed

- Provide coverage for inbound inquiries and order processing when Event Managers and Directors are unavailable, ensuring timely responses and accurate handling of requests.

- Assist the Director of Catering & Events with researching new business pipelines, maintaining active conference and industry calendars, and supporting departmental initiatives.

- Help coordinate all arrangements (F&B, Rentals, Incidentals) for all events onsite and offsite.

- Help maintain an active tracking system on all inquiries, sales calls, and site visits.

- Provide hands-on support during events when needed.

- Support the Human Resources Director with various data collection in support of legal counsel.

- Assist the HR Department with compliance and credentialing.

- Assist the HR Department with recruiting.

- Assist the HR Department with administrating benefits support.

- Help with special HR projects as assigned.

Qualifications

- 1 year restaurant, event, and catering experience required

- 1 year administrative experience required

- Experience with Tripleseat required

- Experience with InDesign and Google Suite programs heavily preferred

Prerequisites for Employment

- California Food Handler's Card
