Ultimate Staffing is looking for a Receptionist to support a leading skin care company in San Jose, CA!Schedule: Mon-Fri 8am-5pmLocation: San Jose, CALength: Contract-to-hirePay: $22-$23/hrTitle: Receptionist - Office Assistant Function: Answers incoming calls, directs calls to the proper person, filing invoices, and greet/sign-in visitors. Ensure the office facility responsibilities are fulfilled as listed below and support departments across the organization as requested. Reports to: Sr. Director of Human Resources Essential Duties and Responsibilities: Duties include the following (other duties may be assigned) Receptionist: Answers and transfer incoming calls Order: business cards, name badges, name plates and rep bag Maintain inventory spreadsheet for business cards, name badges, rep bags Process outgoing mail with postage machine Manage postage machine funds Manage Data Safe schedule Greet and sign-in temps and visitors Assist other department with projects as needed Maintains front desk tidiness Monitor Jan's (Chairman) reserved parking spot Maintain conference rooms Office Assistant: Order office supplies and maintain supply rooms Set up new employee work area Maintain coffee and vending machines (order coffee) Monitor and maintain break room, executive kitchen and restrooms Order bi-monthly lunches Works with accounting to ensure all credit card purchases receipts are accounted for Ensures First Aid Kits are kept in-stock Assist with set-up and clean up for HR Events Maintains water coolers company wide Operates/ manages copier Manages copy work areas Minimum Qualification and Experience: 2+ year of experience in a receptionist role. Excellent written and verbal skills are essential. Detail orientated and organize. Intermediate computer skills with Microsoft, Excel and filing experience. Must have the ability to learn to operate the receptionist desk and follow procedures. Superior communication skills are required. Must be able to multi-task, demonstrate high attention to details, and time management. Switchboard experience required. Punctuality and good attendance is a must.
