Company Overview:

OBS Inc. is actively seeking a skilled and bilingual Office Coordinator to join our team. This position involves a blend of administrative tasks both in the office and field environments. The selected candidate will play a pivotal role in supporting the Project Manager with customer account management, tracking job progress and proper scheduling, coordinating crew hours, customers' approach with emails, sending new offers about our services, and ensuring timely billing and invoicing.

Responsibilities:

Daily check team clock in and clock out.

Monitor team working hours.

Daily fill in and check on proper crew schedule and timelines.

Communicate with new and existing customers via phone or email as needed.

Make sure the job information in the customer tracking system is updated daily.

Upload and monitor job information and progress.

Coordinate project timelines with internal departments.

Accommodate updates and changes to project schedules.

Document project billing processes and maintain records.

Assist with other administrative duties when necessary and as requested.

Qualifications:

Effective communication skills with customers, employees, and vendors.

Bilingual proficiency in Spanish and English.

Prior organizational and administrative experience preferred.

Proficient with Microsoft Excel, Word, Outlook, Project, and other relevant programs.

Strong written and oral communication skills.

Possess a valid California driver’s license with no limitations on driving work trucks/vans.

Working Conditions:

This role operates in both office and field environments with occasional exposure to noise and local weather. Physical requirements include standing, walking, sitting, using hands, talking or hearing, climbing stairs and/or ladders. The employee may occasionally lift and/or move up to 50 pounds.

Compensation:

Pay is based on the knowledge, skills, and abilities of the employee, ranging from $30.00 to $35.00 per working hour.

Schedule:

Monday to Friday, with occasional weekends for training objectives or project timelines.
