We are seeking an experienced Executive Administrative Director to join our dynamic team. This role is crucial in supporting our executive leadership, managing our agent/LO teams, and ensuring smooth operations across our organization.
Key Responsibilities:
Provide high-level executive support to the CEO and leadership team, managing calendars, coordinating meetings, and handling sensitive information with discretion
Head of support for our real estate agent and lending officer teams, overseeing onboarding including creating ICAs, broker demands, and responding to agent/LO requests
Managing and updating website
Manage complex projects, prepare comprehensive reports, and create professional presentations using PowerPoint and other tools
Oversee and optimize our CRM system, ensuring data integrity and efficient utilization across departments
Coordinate and execute marketing initiatives using Canva and other design tools
Plan and organize company events, team-building activities, and client meetings
Streamline office procedures and implement new technologies to enhance productivity
Qualifications:
Proven experience (5+ years) as an Executive Assistant or Administrative Director in a real estate or mortgage office
Exceptional proficiency in CRM systems, data management, and Microsoft Office Suite (especially Excel and PowerPoint)
Advanced skills in Canva and other marketing tools
Familiarity with website editors and SEO (WIX preferred)
Strong technical aptitude with the ability to quickly learn and implement new software and systems
Excellent organizational and project management skills
Outstanding written and verbal communication abilities
Bachelor's degree in Business Administration or related field preferred
Demonstrated ability to lead and mentor real estate or mortgage teams
Strong understanding of real estate and mortgage industry operations
Proven track record of implementing and optimizing office technologies
DRE and/or NMLS license preferred but not required
