Description We are seeking a dedicated and highly organized Executive Assistant to provide comprehensive support to our executive team in our nonprofit organization. The successful candidate will play a pivotal role in ensuring the efficiency of executive operations and contributing to the overall success of our mission. The position requires a proactive and adaptable individual with exceptional communication skills, attention to detail, and a commitment to supporting the nonprofit's goals. Coordinate and manage complex executive calendars, scheduling meetings, appointments, and events.

Prioritize and organize daily activities to optimize the executives' time.

Communication and Correspondence:

Act as the primary point of contact between executives and internal/external stakeholders.

Draft, edit, and proo emails, reports, and other executive correspondence.

Manage phone calls and messages with professionalism and discretion.

Meeting Coordination:

Arrange and coordinate executive meetings, ensuring all necessary materials are prepared.

Assist in the preparation of meeting agendas, presentations, and follow-up documentation.

Coordinate logistics for internal and external events attended by the executives.

Travel Arrangements:

Plan and organize travel itineraries, including flights, accommodations, and ground transportation.

Manage travel-related expenses and reimbursements.

Document Management:

Organize and maintain confidential executive documents and files.

Assist in the preparation and editing of reports, proposals, and presentations.

Project Support:

Provide administrative support for special projects and initiatives led by the executive team.

Collaborate with other departments to facilitate cross-functional projects.

Donor and Board Relations:

Assist in maintaining relationships with donors and board members.

Coordinate communications and materials for board meetings.

Requirements

Qualifications:

Bachelor's degree or equivalent experience.

Proven experience as an executive assistant or in a similar role, preferably within a nonprofit organization.

Strong organizational and multitasking skills.

Excellent written and verbal communication skills.

Proficient in Microsoft Office suite.

Ability to handle sensitive information with discretion.
