Description We are offering an exciting opportunity for an Administrative Coordinator based in Santa Rosa, California. As part of our team, you will be responsible for providing administrative support to various departments, maintaining both physical and digital filing systems, and assisting in various other administrative tasks.Responsibilities: Provide administrative support to various departments, including human resources, finance, and administrative operations Maintain and manage both physical and digital filing systems, ensuring information is organized and easily accessible Communicate with internal and external stakeholders, answering and returning phone calls, scheduling appointments, and directing callers to the appropriate department for further assistance Respond to emails and other digital requests for information, both formally and informally Draft and edit letters, reports, and other documents as necessary, ensuring all information is accurate and up-to-date Assist in the execution of documents, including postage, shipping, and retrieval of IT equipment Handle questions, projects, and processes related to leases, IT, company equipment, and other related materials Research issues with vendors and business stakeholders as needed, ensuring all issues are resolved in a timely manner Assist with accounts payable needs as they arise, ensuring all payments are processed accurately and on time Maintain the accuracy and timeliness of spreadsheets, e-forms, and other forms of data entry. Skills: Management System Microsoft Excel Microsoft Office Suites Microsoft Outlook Microsoft Word About Time Correspondence C-Suite Customer Service Data Entry Requirements Minimum of 2 years experience in an administrative coordinator role or similar position Proficiency in Microsoft Office Suites including Microsoft Excel, Microsoft Outlook, and Microsoft Word Experience with Management Systems Familiarity with 'About Time' software Excellent customer service skills Proven ability to handle correspondence effectively Experience working with C-Suite executives Strong data entry skills High attention to detail and organizational skills Excellent communication and interpersonal skills Ability to multitask and prioritize workload Problem-solving and decision-making skills Must be able to work independently and within a team environment Bachelor's degree or equivalent work experience in related field preferred.
