Job Title: Administrative & Operations Support Specialist

Location: SERVPRO of Santa Barbara / SERVPRO of Santa Ynez

Job Type: Full-Time

Job Summary:

SERVPRO of Santa Barbara and Santa Ynez is looking for a highly organized, adaptable, and resourceful team member to join our office as an Administrative & Operations Support Specialist. This role requires someone who can handle multiple responsibilities, from administrative work and answering phones to assisting with estimates, marketing errands, and customer relations. The ideal candidate will be eager to learn all aspects of our business, maintain confidentiality, and be willing to take a monthly rotation for after-hours emergency calls.

Key Responsibilities:

Office & Administrative Duties:

Answer and direct incoming calls in a professional and courteous manner.

Assist with administrative tasks, including data entry, scheduling, and record-keeping.

Maintain confidential information and ensure discretion in all communications.

Support estimating and job documentation as needed.

Process and track invoices, payments, and work orders.

Customer Service & Operations Support:

Occasionally meet with customers for estimates and inspections.

Assist in creating and submitting estimates when needed.

Provide support to the production team by coordinating job schedules and logistics.

Learn and support different aspects of SERVPRO operations, including water, fire, and mold restoration processes.

Marketing & Field Support:

Run marketing and operational errands as needed.

Support business development efforts through networking and customer outreach.

Assist with social media and marketing initiatives when needed.

After-Hours Support (On-Call Rotation):

Participate in a rotating schedule (typically once per month) to handle after-hours emergency calls.

Dispatch crews and provide initial support to emergency customers.

Qualifications & Requirements:

Strong organizational skills and ability to multitask.

Excellent communication and customer service skills.

Ability to maintain confidentiality regarding sensitive company information.

Willingness to learn all aspects of SERVPRO’s operations.

Ability to work independently and take initiative when needed.

Must be reliable, professional, and able to adapt to a fast-paced environment.

Proficiency in Microsoft Office (Word, Excel, Outlook) and ability to learn SERVPRO software.

Valid driver’s license and ability to run errands as needed.

Preferred Qualifications:

Experience in administrative support, customer service, or office management.

Experience with estimating or insurance restoration (a plus but not required).

Knowledge of SERVPRO processes or the restoration industry (preferred).
