A Pediatric Office Supervisor oversees the operations of a private pediatric practice, ensuring smooth day-to-day activities while maintaining a high level of patient care and safety. Their primary responsibilities include managing both clinical and administrative functions, supervising staff, coordinating with health professionals, and ensuring the practice complies with all healthcare regulations.
Key Responsibilities:
Team Leadership & Staff Management:
- Hire, train, and supervise office assistants.
- Ensure proper scheduling and staffing levels to meet patient demand.
Patient Care & Relations:
- Oversee patient appointments, making sure they are scheduled efficiently and according to each child's needs.
- Ensure patients and their families receive exceptional care and customer service.
- Address patient concerns and complaints in a professional manner.
Administrative Duties:
- Manage patient records, including updating medical histories and treatment plans.
- Oversee billing and insurance claims, ensuring that all are processed correctly.
- Maintain inventory of supplements and healthcare supplies and place orders when necessary.
Compliance & Safety:
- Ensure that the practice follows all relevant health regulations, including sterilization protocols and safety standards.
- Conduct regular audits to ensure compliance with OSHA (Occupational Safety and Health Administration) and HIPAA (Health Insurance Portability and Accountability Act).
Financial Oversight:
- Monitor the financial performance of the practice and ensure it operates within budget.
- Implement strategies to improve revenue, reduce costs, and optimize billing procedures.
Skills & Qualifications:
- Education: High school diploma or equivalent required.
- A background in healthcare, administration or a related field is an asset.
Experience:
- Previous experience in a pediatric or healthcare setting or a dental office is a plus, but not required.
Skills:
- Strong leadership, organizational, communication, and problem-solving skills.
Bilingual:
- Must be fluent in English and Spanish
