Position: Office Manager / Registrar

Location: Santa Barbara, CA

Schedule: Part-time (30 hours/week, August–June) 8:15am-3:45pm

Hourly Pay: $25–$30/hour (depending on experience)

Annual Budget: Up to $35,000 year

Start Date: August 2025

Anacapa School, a private 7th-12th grade school in downtown Santa Barbara, is seeking a dedicated and detail-oriented Office Manager/Registrar to join our dynamic team. The vital role of Office Manager combines office management, scheduling coordination, and registrar duties to support smooth operations for students, families, and staff.

About the Position

This dual-role position is central to the daily operations of our school. The Office Manager serves as the welcoming face of Anacapa and ensures the smooth functioning of front office activities and school logistics. The Registrar oversees critical academic record-keeping and supports families with enrollment and tuition-related needs.

This is an excellent opportunity for someone who enjoys a varied and people-focused role in a dynamic educational environment.

Key Responsibilities

Office Manager Duties:

-Serve as the primary point of contact for students, families, staff, and visitors in the front office.

-Coordinate school-wide scheduling, including meetings, events, field trips, and special programs.

-Maintain open, timely, and professional communication with faculty, administration, and families.

-Support the student experience throughout the day with a warm, helpful presence.

-Oversee custodial staff and ensure supplies and facilities are well maintained.

-Assist with tuition payments and incidental billing using the FACTS Advanced Accounting System (as needed).

-Assist with the logistics and support of occasional evening and weekend school events such as: Open houses, Outdoor expeditions, Town halls, Annual fundraising events

Registrar Duties:

-Maintain accurate and confidential student records in compliance with school and state standards.

-Manage enrollment and registration processes for new and returning families.

-Create and maintain student transcripts using the school’s student information system (training provided).

-Organize and manage digital administrative records using Google Suite tools.

-Track and report academic and administrative data as needed.

-Friendly and approachable - someone who enjoys working with students and families.

-Experienced in registrar or school administration work (preferred but not required).
