Description We are offering a short-term contract employment opportunity for a Workplace Coordinator in the Software industry in San Mateo, California. The selected candidate will have the vital role of managing various office tasks, maintaining regular communication with property managers and HQ staff, and providing support to different departments. This is an onsite role (32 hours per week) with a schedule of Monday to Thursday 8am - 5pm. There is no work Friday. We look forward to connecting!Responsibilities: Handle the telephone system and respond to incoming calls in a detail-oriented manner. Greet and manage office visitors, ensuring a welcoming environment. Draft and manage routine correspondence and handle incoming mail efficiently. Maintain a well-organized filing system and keep track of correspondence and investor relations database. Manage office supplies and lunchroom kitchenette, including ordering, inventory control, and maintenance tasks. Prepare outgoing mail and packages for pick up by USPS, FedEx, UPS or other services as needed.Requirements Solid understanding of basic office skills, such as administrative tasks, filing, and scheduling. Proficiency in using office software including Microsoft Office Suite and email systems. Excellent communication and interpersonal skills, with an ability to interact at all levels of the organization. Proven ability to manage multiple tasks or projects and prioritize accordingly. Strong problem-solving skills, with a detail oriented approach. Ability to work independently, as well as part of a team. A proactive approach to work, with a strong initiative to improve processes and systems. High level of discretion and confidentiality for dealing with sensitive information. Ability to adapt to changing situations and requirements.
