Description We are offering a contract opportunity for a Receptionist at our location in San Mateo, California. In this role, you will be the first point of contact for our organization, providing support to our visitors and employees. You will be responsible for greeting guests, answering inquiries, and performing administrative tasks to ensure efficient operation of the office. This is a 1-week assignment 3:30pm - 11:30pm.Responsibilities: Greet and welcome guests as soon as they arrive at the office Direct visitors to the appropriate person and office Answer, screen and forward incoming phone calls Ensure reception area is tidy and presentable, with all necessary stationery and material Receive, sort and distribute daily mail/deliveries Maintain office security by following safety procedures and controlling access via the reception desk Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing Handle emergency situations as they arise, ensuring the safety and comfort of all guests and staff Conduct walk-throughs around the property to ensure everything is in order Use Microsoft Excel, Microsoft Outlook, and Microsoft Word to organize files, schedule appointments, and manage correspondenceThis role requires strong interpersonal skills, proficiency in Microsoft Office, and the ability to manage a multi-line phone system. Excellent customer service and data entry skills are also required.Requirements Minimum of one year experience working in a similar role as a Receptionist Proficient in answering multi-line phone system and managing incoming calls effectively Strong customer service skills with a focus on providing a positive experience for all visitors and staff Ability to perform data entry tasks with high level of accuracy and attention to detail Experience in managing email correspondence and ensuring timely responses to all messages Excellent interpersonal skills, with the ability to interact effectively with individuals at all levels of the organization Proficiency in Microsoft Excel, Microsoft Outlook, and Microsoft Word Experience in organizing files and maintaining an efficient filing system Ability to schedule appointments, manage calendars, and ensure all meetings are well-coordinated.
