Description We are offering a contract to hire employment opportunity for a Receptionist in San Jose, California. The selected candidate will be primarily responsible for ensuring smooth communication within our team, handling administrative tasks, and assisting with various office projects.Responsibilities: Facilitate communication by answering phone calls and directing them as necessary Welcome and guide clients and guests upon their arrival at the office Distribute incoming mail and prepare outgoing shipments Handle online bank deposits Keep an inventory of office supplies and place orders when necessary Assist with the yearly distribution of Vehicle insurance and accident reporting kits Coordinate repairs for office equipment such as copiers Assist in assembling New Hire Health and Welfare benefits packages Help with creating submittals, O& Ms, closeout binders, and startup reports Maintain the plotter/plotter room and assist with printing tasks Prepare letters and narratives Manage mail sorting, transmittals, and Fed-ex ordering Assist Marketing Manager and Office Manager with miscellaneous projects Perform light engineering assistant work when required. Requirements Proficient in MS Office, with a particular emphasis on Microsoft Excel Familiarity with the construction industry is a plus Excellent communication and interpersonal skills Ability to handle multiple tasks with strong attention to detail Previous experience as a receptionist or in a similar role is beneficial Excellent organizational and time management skills Able to handle sensitive information confidentially High school diploma or equivalent preferred Customer service attitude Able to work independently and as part of a team Comfortable with handling incoming and outgoing phone calls Ability to maintain a clean and organized reception area Proactive and able to handle any issues that might arise during daily operations.
