Description We are seeking an organized and proactive Administrative Assistant to join our organization. You will work directly with our executive team, managing mostly business-related tasks such as creating reports, organizing travel and accommodation, taking minutes, and other organizational tasks. To do this role properly, you should have a detailed understanding of office management procedures and a familiarity with different software programs.Responsibilities:
Answer and direct phone calls in a polite and friendly manner
Welcome visitors and direct them to the appropriate departments or individuals, answer queries, and create a welcoming environment
Organize and maintain files and databases in a confidential manner
Manage communication including emails and phone calls
Screen phone calls, redirect calls, and take messages as necessary
Schedule appointments, meetings, and reservations as needed
Receive and process invoices
Perform general bookkeeping duties
Maintain office supplies by checking inventory and ordering new supplies as needed
Assist in planning and arranging events, including organizing catering
Handle office deliveries
Draft, review, and proo office documents
Coordinate and manage calendars
Work closely and collaboratively with teams to provide support
Assist in reporting office expenses
Requirements
Requirements:
High school diploma or associate’s degree.
Prior experience as an administrative assistant or in a similar role.
Proficiency in Microsoft Office suite (Outlook, Excel, Word, PowerPoint, etc.)
Experience with office equipment (fax machines, printers, etc.)
Strong communication skills, both verbal and written
Excellent organizational skills, ability to prioritize, and comfortable working independently
Exceptional customer service skills and professional phone manner
Overseeing general office operation
Good time management and problem-solving skills
Must be detail-oriented and comfortable working in a fast-paced office environment
Superior organization skills and dedication to completing projects in a timely manner.
