Job Summary:

We are seeking an experienced and dynamic LVN Practice Manager to lead the daily operations of our medical spa. The ideal candidate will have a strong background in healthcare administration, exceptional organizational skills, and a passion for delivering outstanding patient care. As the Practice Manager, you will play a crucial role in overseeing the efficient functioning of the spa, managing staff and fostering teamwork, ensuring a seamless and positive experience for our clients whilst meeting key performance indicators.

Responsibilities:

Operations Management:

Oversee the day-to-day operations of the medical spa

Ensure compliance with all healthcare regulations and guidelines

Develop and implement efficient office policies and procedures

Maintain oversight on operations, including the monitoring and upgrading of internal operating systems

Establish sales and quality goals for all team members.

Have a thorough working knowledge of all standard operating procedures, policies, and protocols that pertain to the operation of the MedSpa and ensure that all employees adhere to them.

Have thorough knowledge of all retail, professional, and clinical products.

Maintain complete knowledge of technician techniques, services, and packages.

Ensure that all clerical and administrative duties, including data entry, filing, and order processing, are performed in a timely and efficient manner.

Manage the sales process through involvement in client consultations and follow-up efforts. Ensure all team members are able to provide client consultations effectively.

Ensure that all closing procedures, including counting cash, preparing bank deposits, and locking doors, are strictly adhered to at all times.

Track inventory and order products/supplies as needed, maintaining established par levels.

Audit and update patient photos, consents, and census info

Manage charts and records for clinical issues

Handle account issues, such as outstanding account balances

Excellent professional written and verbal communication

Exceptional time management and hospitality skills

Detail-oriented, with the ability to multitask

Ability to work cross-functionally with Operations, Marketing/Social Media, and clinical staff (injectors, estheticians, physicians)

Reviews PTO calendar, monitors OT, ensures all employees take break/lunch, and monitors unauthorized absences ensuring human resources are optimized at all times.

Develop and execute long and short-term revenue plans and goals

Responsible for the medical weight loss program and overseeing those patients

Must be comfortable with drawing blood, administering vitamin and weight loss injections to patients and starting an IV for our IV hydration therapy patients.

Will be responsible for training all Medical Assistants and overseeing their day to day tasks.

Team Leadership:

Recruit, train, and supervise spa staff, including administrative and clinical personnel with necessary equipment and technology required

Foster a positive and collaborative work environment

Conduct regular performance evaluations and provide constructive feedback to staff

Patient Experience:

Ensure processes are in place for an exceptional patient experience from the moment of booking to post-treatment follow-up

Address patient inquiries and concerns promptly and professionally

Implement strategies to enhance patient satisfaction and loyalty

Ensure the team creates a professional relationship with clients, promoting repeat and referral visits.\

Grow existing client base through client re-engagement and networking

Financial Management:

Oversee billing and financial transactions, working closely with the Bookkeeper, Payroll/CPA.

Monitor and manage the budget, identify cost-saving opportunities, and maximize revenue in line with financial key performance indicators

Manages procurement of office supplies and resource allocation.

Reviews insurance policies and ensures coverage and cost-effectiveness.

Work with the clinical director to ensure proper maintenance and repair of equipment.

Prepares monthly/quarterly business reports as necessary

Verifies receipt of payments.

Ensures compliance with cash handling and banking duties

If applicable, pays quarterly building management payments and invoices.

Participates in internal and external audits

Collects and analyzes financial data and provides monthly, quarterly and annual reports as needed.

KPI management/reporting and implementation.

Ensure revenue, conversion, and retention for all client engagements

Marketing and Business Development:

Collaborate with the marketing team to develop and implement promotional strategies on key social media platforms

Identify opportunities for business growth and expansion in new markets

Build and maintain relationships with other vendors and partners

Qualifications:

Licensed LVN and/or Bachelor's degree in Healthcare Administration or a related field

Proven with two or more years experience in medical office management, preferably in a medical spa or plastic surgery clinic

Strong understanding of healthcare regulations and compliance

Excellent leadership and team management skills

Exceptional organizational and multitasking abilities

Effective communication and interpersonal skills

Proficiency in MS Office, EMR software (Aesthetic Record), Canva
