PROPERTY MANAGER ASSISTANT

The Job:

Assist the Property Manager with general operations of day to day activities. Provide

excellent customer service to all residents, owners, and vendors. Help residents resolve any maintenance issues.

Maintain organization throughout the office, including updating files and keeping abreast of filing. Help the Property Manager to create notices such as 3-Day Pay or Quit, 24 Hour Notice to Enter, Rent Increases, water/electric shut-off for maintenance, etc. There will be a lot of communication using phones and emails, filing, copying, ordering of supplies, coordinating vendors and tenants.

In a Nutshell:

Perform day-to-day operations and work closely with the Property Manager, Bookkeeper, and Maintenance Supervisor.

We need someone who can assist colleagues, assist with leasing packages, someone who will become familiar with the inventory of apartments that are available for rent at each property, cancel and refund applications that are not reviewed, assist in collecting rent payments, create rent receipts for tenants, maintain status boards, and create social media blasts. Previous HOA or apartment experience is a plus, AppFolio experience preferred but not required– if you’re eager, we are willing to train.

Specific Tasks include but are not limited to:

Ability to organize and create regular and scheduled social media posts

Assist the Property Manager in preparation and distribution of any and all notices

Enter and track work orders

Answer incoming phone calls, retrieving messages and voicemails.

Reach out to vendors and tenants to coordinate both

Assist the Property Manager with any late fees and defaults

Maintain accurate and updated files

Assist the Bookkeeper with office supplies, coordinating orders and restocking as needed

Accurately file documents that come across your desk

Maintain and update the “On Notice” board as often as possible as needed

Accurately file all invoices in the appropriate property folders

Shred any papers needing shredding to protect the privacy of tenants and owners

Receive and prepare coins for monthly deposit from laundry machines

Help to create, edit, and post ads for upcoming and currently vacant units using our website and all social media outlets

Maintain and update all property and unit files as well as all HOA binders

Maintain and update vendor files and binders

Copy, mail, print, scan, file, create form letters/notices, proofread, handle company paperwork

Coordinate move-ins, keys, inspections, and move-outs

Learn and stay up to date with San Diego and state of California rental laws and regulations including Section 8, very low income and affordable housing laws

We are looking for a self starter who can work with minimal supervision

Schedule:

Start date: January 6, 2025

8:30-5:30 Mon-Fri in our office

Salary: $23.00-$25.00 DOE

Details:

Reliably commute or live near San Diego, CA 92104 prior to employment.

Proficient in speaking, reading, and writing English, working knowledge of MS Office, ability to email, handle medium level of phone calls, taking accurate messages, and answering the phone with a smile. Familiarity with Social Media and ability to present a professional company image.

90-day probationary period after which you will accrue 10 vacation days per year which may be taken after first year of employment. In addition, you will receive 9 paid holidays and your birthday off in 2025.
