Job Description: Executive Assistant - Construction Company

Overview: We are seeking an experienced and proactive Executive Assistant to provide high-level administrative support to our executive team at a leading construction company based in the City of San Diego. The ideal candidate will excel in managing schedules and coordinating meetings. This role will require excellent organization skills, resourcefulness and the ability to think on your feet. This position will be crucial in ensuring smooth operations and effective communication within our organization.

Responsibilities:

Manage executives' schedules and day-to-day activities, prioritizing tasks as needed.

Provide high-level administrative support, including reviewing proposals, coordinating contracts and facilitating emails.

Coordinate executive calendars, scheduling meetings, appointments, and travel arrangements.

Conduct research, compile data, and prepare reports or summaries as needed.

Manage confidential information with utmost discretion and professionalism.

Identify and resolve issues or conflicts that may impact the company or executives, escalating when necessary.

Maintain hard copy and electronic filing systems, ensuring accuracy and accessibility of documents.

Utilize software and app-based technologies such as Company Cam, Google Drive, Dropbox, Google Sheets, and Docusign for project management and administrative tasks.

Communicate effectively with a range of subcontractors, clients, and investors.

Demonstrate strong organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously.

Requirements:

Proven experience as an Executive Assistant or similar role in the construction industry.

Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).

Solid proficiency with Google Drive, Dropbox, Google Sheets, and Docusign.

Solid technical background with proficiency in software and app-based technologies.

Excellent communication and interpersonal skills, with the ability to interact effectively at all levels.

The ability to draft and edit correspondence and documents.

Competence in conflict and crisis management.

Excellent time management and organizational skills.

Ability to see the "big picture" and prioritize tasks effectively.

Typing proficiency and attention to detail in written communication.

Experience with SDG&E and Accela a plus
