Office Administrative Assistant

Location: Valley Center; NOT a remote position

Field: Construction, Roofing, and Solar

Job Status: Full-Time, 40 hours/week. Our office is open 7:00am - 3:30pm

Pay Rate: $22-28 per hour

Note: Pay is dependent on experience and ability.

Summary:

This position reports directly to the Director of Operations of the company. The Office Administrative Assistant position involves company-wide data management, customer interaction and information intake, scheduling and coordination of field work, and effective implementation of office procedures. The nature of the work requires good analytical, procedural, and clerical skills and a thorough, detail-oriented work approach in a sometimes fast-paced environment. Candidates must be reliable and consistent with excellent communication skills and a willingness to work as a team.

The Office Administrative Assistant will:

Implement existing information practices for customer data, office data, and job site data.

Coordinate office information systems to facilitate quick and efficient operation and scheduling, client and supplier communication, as well as communication within the company.

Communicate with President, Director of Operations, and Financial Controller on an ongoing basis.

Communicate with clients, suppliers, contractors, and field personnel as-needed.

Draft proposals, work orders, itineraries, and personnel assignment documents on an ongoing basis.

Source and procure materials and supplies as needed.

Required Proficiencies:

Fluent computer skills in a Windows-based environment and familiarity with safe data practices.

Microsoft Office suite, particularly Word and Excel. Quick document formatting and typing skills are essential, including verbal dictation and transcription from written notes.

Clear and effective written and spoken communication skills.

Good problem-solving skills and adaptability. Must be able to adapt to and develop a working knowledge of construction trade terminology and practices.
