Position Summary

We are seeking a detail-oriented and experienced Nonprofit Bookkeeper to join our team. The ideal candidate is highly proficient in QuickBooks Online, understands and follows GAAP, and can manage multiple accounting functions efficiently. This position works closely with our outside accounting firm, which handles reconciliations, month-end closing entries, fixed assets, year-end processes, payroll allocation, and retirement plan payments.

Key Responsibilities

Accounts Payable

Process incoming invoices and bills

Prepare payments via checks and online bill pay

Maintain vendor records and ensure compliance

Record credit card charges and expense reports

Process AFEs (Authorization for Expenditures)

Accounts Receivable

Prepare and send invoices for grants and sponsorships

Record and process incoming payments

Monitor collections as needed

Track and report on grants

Make deposits

Payroll

Send timesheet reminders and review submissions

Process payroll through Paychex

Prepare and submit workers’ compensation reports and payments

Manage employee leave accruals

Other Duties

Manage petty cash

Manage recurring monthly donations

Assist with audit preparation

Maintain accurate records and ensure compliance with policies and regulations

Other duties as assigned

Employment Information

Full-time, hourly, non-exempt (40 hours/week during business hours)

Pay: $25.00 – $26.00/hour, depending on experience

Required Experience

3+ years bookkeeping experience using QuickBooks Online consistently

Preferred Experience

Nonprofit bookkeeping

Invoicing for federal, state, and private funders

Required Skills & Traits

Expertise with QuickBooks Online and Excel

Proficiency with Microsoft Office programs

Strong prioritization, organization, and time management skills

Self-directed and able to work independently

Excellent analytical, critical thinking, and problem-solving skills

Strong attention to detail and accuracy

Collaborative team player

Must pass a background check prior to start date (conducted only after an employment offer)
