Description We are offering a contract-to-permanent employment opportunity in the insurance industry located in Pleasant Hill, California. We are seeking an Office Assistant to join our team who will be responsible for handling a variety of clerical support functions, including front office reception, mail processing, and maintaining accurate records.Office Assistant Responsibilities: Efficiently manage front office reception, acting as the first point of contact for visitors and incoming telephone calls. Process incoming U.S. Mail, including Workers Compensation claims and distribute them to the appropriate staff. Maintain accurate records and utilize inventory control procedures to ensure sufficient supplies and materials meet the needs of the staff. Handle photocopying, faxing, scanning documents, and filing activities to support office operations. Utilize spreadsheet software, word processing software, and email software for various administrative tasks. Act as back-up for Office Assistant II duties in the event of absence or need. Manage scheduling appointments and calendar management. Operate scanning equipment and handle inter-office mail. Maintain a detail-oriented approach to ensure the utmost accuracy in all tasks. Work in a fast-paced environment, demonstrating the ability to multitask and stay organized.If you are interested in this Office Assistant position, please submit your resume for consideration!Requirements Minimum of 3 years of experience in a similar role within the Financial Services industry Proficient in Office Suite, including Excel, Word, and Outlook Ability to manage an office switchboard, handling 1-10 lines Expertise in scheduling appointments and calendar management Familiar with records maintenance procedures Experience in mail processing and handling inter-office mail Proficiency in email communication and etiquette Typing speed of at least 45 words per minute Capable of filing, scanning documents, and using scanning equipment efficiently Basic office skills, including copying, are required Knowledge of Workers Compensation and other insurance-related matters.
