Job Summary The Recruiting Coordinator will primarily be responsible for conducting phone screens, filing related documentation, and coordinating the administrative tasks related to the interviewing, pre-vetting, and communication leading up to new hire orientation. This position will be key in creating a positive candidate experience and help identify, attract, and retain top talent. The recruiting coordinator will also support the day-to-day functions of the HR department. Duties and Responsibilities

Schedule and conduct phone screens for all open positions.

Assist with reviewing entry level applications and send recommendations to HR Advisor/hiring manager.

File all interview notes from HR phone screens and interview notes from hiring managers.

Schedule in-person/virtual interviews on behalf of hiring managers.

Once a job offer is extended by the HR Advisor and accepted, initiate pre-employment background check and drug test.

Upon the completion of pre-hire checks, coordinate and communicate all follow up tasks with new hire prior to their orientation date; if traveling book hotel stay and provide mileage reimbursement form, send new hire paperwork, and send calendar invite to internal teams confirming their start date.

File chain of custody forms and results for pre-employment, post-accident, and random drug tests notifying HR Manager and HR Advisor of positive results.

Track and remind managers of employee 90-day and annual evaluations.

Complete entire employee onboarding process for all Non-Union new hires: collect required documents, create employee files, ensure all necessary paperwork is completed, and data has been entered into applicable systems. Assist with union onboarding as needed.

Maintain I-9 files, including filing and audits.

Complete Department of Transportation verification of employment for all DOT-regulated employees.

Organize departmental meetings by preparing agendas.

Support the Human Resources team across HR functions and processes.

Qualifications and Skills/Abilities

Proficient in Microsoft Office Suites (Outlook, Word, Excel)

Basic understanding of Human Resources laws/regulations, principles, and standards

Excellent verbal and written communication skills, with the ability to communicate in a concise, professional, and timely manner.

Ability to maintain a high degree of discretion, diplomacy, and confidentiality.

Critical thinking skills – using logic to identify alternative solutions, conclusions, or approaches to problems.

Proficiency with or the ability to quickly learn HRIS and other Human Resources systems.

Valid Class C Driver’s License with a clean driving record

Education and Experience

Required : High School Diploma or GED equivalent

Required : Minimum 2 years of Human Resources experience, recruiting experience is a plus.

Preferred: aPHR or SHRM-CP Certification

Required: Successful candidates must pass the following pre-employment requirements prior to beginning employment: drug screen and background check. Background checks include, but are not limited to, Social Security Verification, prior employment verification, motor vehicle records, personal and professional references, and criminal history.

Compensation

The salary range for the Recruiting Coordinator in Paso Robles, CA is $25 to $27 hourly.

The above salary range represents MGE Underground, Inc.’s competitive compensation at the time of this job post. Pay within this range will be determined based on a number of factors, including but not limited to, experience, education, skills/abilities, and applicable knowledge.
