Job Summary: Executive Assistant to General Manager

The Executive Assistant to the General Manager shall assist with all day-to-day operations of the Company. The Executive Assistant shall be primarily responsible for internal operational tasks. When the General Manager is unavailable, the Executive Assistant shall be expected to resolve issues with guests. The Executive Assistant’s operations duties shall vary, and may consist of the following: Helping onboard new homes; managing ongoing projects; performing administrative duties requiring computer access; communicating with vendors and the Company’s internal staff; and performing house runs when needed.

You must be tech savvy and know how to use the myriad of apps and automations we use in our vacation rentals. If your WIFI gets disconnected and you cant figure out how to turn it back on, then this is not the position for you! In short, our general manager is the oil that makes our business run, and you are the vital link between our general manager and the rest of our operations.

Pay and Benefits:

$22.50/hr during 6 week training period and $25/hr after training is complete.

Paid Sick Leave and Vacation Pay.

Schedule:

Approximately 31 hours per week. Work schedule is Thursday to Monday with Tuesday and Wednesday off. Weekday schedule is 11am-5pm and weekend schedule is 11am-7pm. Schedule is flexible and you may complete your work in a few hours but must still be available during the hours described for house runs or if there are guest issues that must be resolved. Given that this is the hospitality industry, ability to work weekends is a must. You may be required to work on holidays during which holiday pay will be 1.5x the regular pay. Work location will be a mix of at home and at our different short term rental locations throughout the valley.

Key Responsibilities

Staff and Vendor Management: The Executive Assistant shall be responsible for scheduling weekly property walkthroughs for the Company’s inspections teams; coordinating repairs with the Company’s internal maintenance team and outside vendors; overseeing quality control requirements for current projects; and handling home warranty calls for required repairs.

Homeowner Onboarding: The Executive Assistant shall be responsible for providing walkthroughs of new properties; setting up automation systems in and for new properties; and providing assistance with regard to permit applications and renewals.

House Management: The Executive Assistant shall be responsible for placing orders for supplies requested by the Company’s inspection team; handling in-person house runs for purposes of dropping off supplies, fixing Wi-Fi, troubleshooting guest issues, and other similar assistance; filing and organizing expense receipts; and resolving compliance issues.

Guest Communication: The Executive Assistant shall be responsible for resolving guest complaints when the General Manager is unavailable; transferring guest questions to the intended recipient; and handling inbound and outbound calls with guests.

Requirements:

- Must have experience in hospitality, property management, hotels or a similar industry

- Must be tech savvy

- Plus if you are located around Indio, CA where most of our STRs are located

- Great Customer Service Skills

- Resourceful and ability to problem solve issues

- Great time management and ability to work in a constantly changing environment
