Remote Legal Assistant/Calendar Clerk Position – Plaintiff’s Personal

A dynamic, expanding Personal Injury Litigation and Trial Law Firm seeks a seasoned, well-rounded Legal Assistant/Calendar Clerk to direct management of the Firm’s entire calendar in a fast-paced, trial-focused environment. Our whole practice specializes in representing Personal Injury Plaintiffs at trial and/or during arbitration, and takes cases from all over California. To qualify for this position, you must have a minimum of 5-7 years’ strong experience in Civil Litigation, an expert grasp of litigation, trial and arbitration deadlines, and a strong work history demonstrating competent management of a law firm calendar. A college degree, paralegal certificate or some legal education is preferable, but not required if your experience and work ethic match our high standards.

The candidate must be an expert at performing the following routine functions:

Maintaining a case calendar, including creating and modifying as necessary all appointments and reminders related to depositions/examinations before trial, court appearances, etc.;

Manually calculating and calendaring all case related appearances, tasks, and deadlines from inception of the action, through trial, and up to an including post-judgment and/or appellate stages;

applying knowledge of the California Code of Civil Procedure, California Rules of Court, Federal Rules of Civil Procedure, and local court rules to overall case management;

Scheduling, confirming, canceling and rescheduling depositions/examinations before trial, which includes communicating with clients, counsel for other parties, claims professionals, third-party witnesses, and court-reporting vendors and videographers;

Reserving and confirming motion dates (in all applicable jurisdictions);

Reviewing and analyzing information provided by clients, client representatives, other parties and their counsel, court personnel, and various court websites/dockets;

Strong verbal and written communication skills, and the ability to effectively communicate over the phone and via email

Inputting information regarding case status and assigned tasks into case management software.

The ideal candidate must be “tech-savvy” and an expert at using Microsoft 365 in a completely remote setting (Word, Outlook, Excel, OneNote, PowerPoint). Implicit knowledge of cloud-based case management programs is a must – prior use of FileVine is a plus. The candidate must know how to manage both strict litigation and trial cutoffs/deadlines as well as ‘soft deadlines’ related to pre-litigation matters, in-house calendar items, arbitrations, and mediations.
