Overview:

The Escrow Representative plays a critical role in managing the documentation and communication between title/escrow companies, homeowners, real estate agents, and internal departments during the sale or refinance of properties within our managed communities.

Duties:

· Process and respond to all escrow demands and related documentation requests within required timeframes.

· Coordinate and provide accurate HOA documents (e.g., CC&Rs, budgets, minutes, insurance certificates, etc.) for property transfers and refinancing.

· Ensure compliance with state laws (e.g., Davis-Stirling Act in California) and internal policies regarding disclosure requirements.

· Manage incoming escrow requests via portals, email, and phone; maintain records and tracking of transactions.

· Liaise with title/escrow officers, real estate agents, and homeowners to ensure a smooth transaction process.

· Calculate and confirm account balances, transfer fees, and HOA dues.

· Maintain accurate records of all transactions and escrow-related correspondence.

· Support accounting departments as needed for property ownership verification and delinquency status.

· Assist with the onboarding and offboarding of homeowners post-transaction.

Experience:

· High school diploma or equivalent

· 1+ years of experience in escrow, title, or HOA management preferred.

· Strong knowledge of escrow processes and HOA governing documents.

· Excellent communication and organizational skills.

· Attention to detail and ability to work under pressure with tight deadlines.

· Proficiency in Microsoft Office Suite and escrow platforms (e.g., HomeWiseDocs, CondoCerts, etc.).
