Job Title: Administrative Project Manager Location: San Juan Bautista, California

Schedule: Monday through Friday Job Types: Part-time, Temp-to-hire - IN OFFICE

Pay: Negotiable based on experience Expected hours: 20 – 39 per week

Are you an experienced Administrative Project Manager seeking a new opportunity in San Juan Bautista, California? Look no further! Our dynamic organization is searching for a professional, focused, and organized individual to join our team.

As an Administrative Project Manager, you will play a crucial role in ensuring the smooth operation of our administrative tasks while contributing to the enhancement of our client experience. Your responsibilities will include providing outstanding administrative support, creating professional emails and templates that reflect our brand, and exceeding client expectations through proactive measures.

Key Responsibilities:

Provide exceptional administrative support to the team leader within the organization.

Develop and maintain professional email communication and templates aligned with our brand and culture.

Communicate directly with clients, vendors and team members in coordination of services.

Respond to clients with enthusiasm and "we are here for you" attitude.

Team player with "I got your back" attitude and approach.

Utilize CRM software for client retention and management.

Proficiency in Microsoft Excel, Word, Google Workspace, and Google Calendar.

Schedule and manage appointments using tools like Calendly.

Demonstrate strong project management skills to ensure tasks are completed efficiently.

Maintain a high level of consistency and reliability in all aspects of work.

Exhibit honesty and integrity in all interactions with the highest level of confidentiality.

Possess a real estate license or have a high interest in real estate (a plus).

Love a fast paced, multi-faceted work environment.

Attention to detail, particularly in reviewing inspections, reports and work orders.

Experienced or willing to learn DocuSign and other electronic signature platforms.

Build rapport and trust with clients through outstanding interpersonal communication skills.

Qualifications:

Previous experience in a startup environment is highly desirable. We really aren't a startup - we have been doing this for 19 years. We are implementing new procedures and processes and would like to approach this efficiently.

Proficiency in CRM software and project management tools.

Strong knowledge of Microsoft Excel, Word, and Google Workspace and other organization software.

Experience or interest in real estate is advantageous.

Exceptional attention to detail, particularly in electronic document management.

Outstanding interpersonal communication skills with the ability to develop trust.

Consistent, reliable and growth minded highly desirable.

Background or interest in sales start up operations and development a plus.
