Job Summary:

We are seeking a proactive and detail-oriented Real Estate Broker Assistant to provide administrative support and help manage the day-to-day operations of a busy real estate office. The ideal candidate will have experience in cold calling, customer service, and document management, playing a key role in supporting the broker and enhancing client interactions.

Key Responsibilities:

Conduct cold calling to prospective clients and leads, helping generate appointments and potential listings.

Provide excellent customer service, responding to client inquiries via phone, email, and in person.

Assist with managing real estate documents, including contracts, disclosures, and listings, ensuring accuracy and timely submission.

Schedule and coordinate appointments for the broker, including property showings, client meetings, and closings.

Follow up with clients and leads, providing updates on listings, offers, and transactions.

Maintain and organize the office’s database, ensuring all client information and records are up-to-date.

Assist with marketing efforts, including preparing materials for open houses, mailers, and social media posts.

Handle administrative tasks, such as filing, answering phones, and ordering supplies.

Coordinate with external vendors (e.g., inspectors, title companies, contractors) to assist in smooth transactions.

Qualifications:

Previous experience as a real estate assistant, administrative assistant, or in a related role.

Strong experience with cold calling and lead generation in a sales environment.

Exceptional customer service skills, with a friendly and professional demeanor.

Knowledge of real estate documentation and transaction processes is highly preferred.

Proficient in Microsoft Office Suite and comfortable learning new software platforms.

Excellent organizational and time-management skills, with attention to detail.

Strong communication skills, both written and verbal.

Ability to multitask and prioritize tasks in a fast-paced environment.

Real estate license (preferred but not required).
