Responsibilities & Duties
  • Work closely with the Chief Technology Officer (CTO), and other members across the Organization including coordination with the Executive Coordinator and other administrative assistants
  • Management and organization of calendars, including coordination and scheduling of meetings
  • Recording of accurate, well-written and professional meeting minutes and tasks following such meetings
  • Creation of Excel reports with formulas and charts out of various structured and unstructured data sources
  • Follow-up with team members regarding task status, due dates and associated reporting
  • Answer and follow-up on incoming calls, support tickets and other work items
  • Work with external/third party vendors and support to coordinate and schedule maintenance activities
  • Clerical duties to include filing, organization of physical equipment (cables, labeling etc.), bookkeeping/accounting functions, organization of digital media, licenses and documentation
  • Expense report generation assistance
  • Assist the CTO with HR/Recruitment tasks, prescreening, job postings, legal/immigration and correspondence with attorneys, reporting, team building/technical event planning activities
  • Perform other duties, as assigned

Qualifications & Skills
  • Bachelor’s in Business Administration or Business Management (preferred)
  • Strong in Excel, reporting and chart generation
  • Strong attention to detail, focus and organization
  • Experience with Technical Writing and Reporting
  • Experience working in a Software Development company
  • Excellent written and spoken communication skills
  • Knowledge of Outlook, Visio, Word and PowerPoint
  • Knowledge of Atlassian Platform, including JIRA and Confluence (preferred)
